A Record of Processing Activities (ROPA) is a structured inventory of how your organisation processes personal data โ what you process, why, where it lives and who you share it with. It is the backbone of an accountable privacy program.
Why it matters
A ROPA is explicitly required under the GDPR (Art. 30) and is strongly expected under the DPDPA accountability principle. More practically, you cannot honour rights, run breach response or pass an audit without knowing what you process.
What a ROPA contains
- Processing activities and their purposes
- Categories of data and data subjects/principals
- Recipients, processors and sub-processors
- Cross-border transfers and safeguards
- Retention periods
- Security measures
How to build one that stays current
Start from data discovery rather than a blank spreadsheet, generate entries from your actual systems, and keep it live as your estate changes โ a stale ROPA is worse than none.
PrivacyOS builds and maintains your ROPA from live data. Try the free assessment for a starter template.
